Job description
Looking for a reliable and varied part-time role? We’re seeking a financial/office assistant who enjoys staying on top of tasks – big and small – in a fast-moving international office.
You will have two main responsibilities:
- Assisting our financial team with administration,
- Assisting with day-to-day responsibilities for the office.
As a finance team assistant, you support our internal finance team and our external accountant by ensuring our financial administration (via Exact Online) is up to date.
As our office assistant you will be handling varying tasks that don’t fall under the responsibility of our researchers or admin/finance team, usually one-off or infrequent tasks, like in the domain of inventory management (do we have enough drinks for our happy hours), communication (you answer the phone if it ever rings), finding quotes and making reservations (to support the events team).
Your tasks
- Book incoming and outgoing invoices into Exact Online
- Make sure those invoices are processed timely
- Assist with financial period closures and audits
- Office daily supply and Inventory management (happy hours, toilet paper, coffee)
- Arrange travel (flights and hotels) for staff’s work trips
- Answer and make phone calls when needed
- Provide hands-on support where an ad-hoc situation arises
- Help out during events and their planning
- Any other tasks where we are short on hands
Your profile
- Familiar with financial administration,
- Familiar with Exact Online,
- Numerically strong,
- Happy to switch tasks upon request,
- Happy to manage our cleaner (and future gardener?)
- Have a good command of English and preferably also speak Dutch,
- Familiar with Google Workspace (Gmail, Sheets, Docs),
- Comfortable in an innovative environment,
- Comfortable in a neurodiverse environment.
