Cancellations:
All cancellations must be sent in writing via e-mail to ‘events@opengeohub.org’ at least before July 3rd 2023 for the 2023 OpenGeoHub Summer School in Poznan (Poland). If a cancellation is made between the end of registrations and 8 weeks prior to the event, the registrant shall be reimbursed fully. After this date, if you cancel, you are eligible to attend next year’s summer school. This postponement is limited to one year and the attendee is liable for any differences in fee levels between years. A postponed enrollment will not be eligible for cancellation the following year. Expect confirmation of your cancellation within 3–5 days. We appreciate the early notice about cancellation because the waiting list is long. All fees associated with the transfer of funds will be deducted from the refunded amount.
This is an event with a cost recovery budget which imposes some limitations on the refunding possibilities:
- no refunds will be issued for cancellations within 8 weeks of the beginning of the event (from 4th of July onward);
- in the case of emergency, illness, or death of the registrant or immediate family member or similar tragic accident (not caused by the applicant), the organizers may refund the complete fees (to be decided by the organizing committee);
In some cases, people cancel participation in the summer school at the last minute. Most frequently this happens due to two reasons: (1) the registrant did not receive a visa or travel permit on time; (2) the registrant has missed an airplane/train. In both cases, the same refunding policies will apply (no refunding is possible). The only thing we can provide is a letter explaining the situation to your employer or university with a copy of this refunding policy. In the case of a late cancellation, we can also offer waived registration fees for the next summer school (2023) with the appropriate recovery of any difference. Please make this clear to your budget holder before the beginning of the summer school.
In the case the event is canceled for security reasons such as the Coronavirus outbreak or similar, all participants will be offered to participate in the postponed event or be refunded. The bank transfer costs in all cases must be covered by the participants.
