Payment of fees
Summer School course fees cover the costs of facilities, lunches and coffee breaks, and travel costs for lecturers. No profits are made. Participants from, and funded by, ODA countries and/or full-time students (MSc and/or PhD) pay a subsidised fee, as stated in the confirmation of participation letter sent to each participant.
The course fees do not cover costs of accommodation. Information about accommodation possibilities is provided on the course website of each edition, and is updated regularly.
All payments and refunds are made in euros. Bank transfer costs need to be covered by the applicant. These fees are based on a cost-recovery basis, and no profits are generated from organising a Summer School.

All payments are handled by OpenGeoHub. Bank transfers are preferred, and the bank-transfer details are:

Cancellations
All cancellations must be sent in writing by e-mail to media-office@opengeohub.org, at least eight weeks before the event starts.
If a cancellation is made between the end of registrations and eight weeks prior to the event, the registrant is reimbursed fully. After that date, you are instead eligible to attend the following year's Summer School. This postponement is limited to one year, and the attendee is liable for any difference in fee levels between years. A postponed enrolment is not eligible for cancellation the following year.
Expect confirmation of your cancellation within three to five days. We appreciate early notice, because the waiting list is long. All fees associated with the transfer of funds are deducted from the refunded amount.
This is an event with a cost-recovery budget, which imposes some limitations on the refunding possibilities:
- No refunds are issued for cancellations within eight weeks of the beginning of the event.
- In the case of emergency, illness, or the death of the registrant or an immediate family member, or a similar tragic accident not caused by the applicant, the organizers may refund the complete fees. This is decided by the organizing committee.
Late cancellations
In some cases, people cancel participation at the last minute. Most frequently this happens for one of two reasons: the registrant did not receive a visa or travel permit on time, or the registrant missed a flight or train. In both cases the same refunding policy applies, and no refund is possible.
What we can provide is a letter explaining the situation to your employer or university, with a copy of this refunding policy. In the case of a late cancellation we can also offer waived registration fees for the next Summer School, with the appropriate recovery of any difference. Please make this clear to your budget holder before the Summer School begins.
If the event itself is cancelled for security reasons, such as a disease outbreak or a similar emergency, all participants are offered either participation in the postponed event or a refund. Bank transfer costs must in all cases be covered by the participant.
